✅ Guide: How to Check Files In and Out of SharePoint
Checking files in and out helps manage collaboration by locking a file while someone is editing it.
🔐 Why Use Check-In/Check-Out?
-
Prevents overwrite conflicts when multiple people edit the same document.
-
Useful for managing document control and draft versions.
-
Required if your document library has content approval or versioning enabled.
📝 How to Check Out a File
-
Navigate to your document library in SharePoint.
-
Click the ellipsis (...) next to the file name.
-
Select More > Check Out.
-
A small arrow/checkmark icon will appear next to the file, indicating it is checked out.
You may also right-click the document or use the command bar at the top.
🔄 How to Check In a File
-
Return to the document library.
-
Click the ellipsis (...) next to the checked-out file.
-
Select More > Check In.
-
Enter optional comments (for version tracking), then click OK.
-
The icon will return to normal, and the file becomes editable again by others.
🚫 How to Discard a Check-Out (without saving changes)
-
Click the ellipsis (...) next to the file.
-
Select More > Discard Check Out.
-
The file will revert to its last saved state.
🧭 Quick Tips
-
Checked-out files are only editable by the person who checked them out.
-
No one else can make changes until the file is checked back in.
-
Always remember to check in files once edits are complete to avoid blocking others.
🛠️ If You Don't See the Option
-
Check if the document library has Check-In/Check-Out enabled:
-
Go to Library Settings > Versioning Settings.
-
