Relationships – Employee-Employer. The most important Relationship Type is Employee-Employer because it sets the person’s parent and every Individual should, ideally, have that Relationship set. The “Primary Employer” checkbox should also be checked for the Individual’s Employer. This Relationship serves the same purpose as the “Parent ID” in the prior AMS product, GoMembers.
Change of Employer or Location. If an Individual moves to a new Organization or a different Organization location, it’s VERY important that the Relationship and Address be set correctly. It's also important that their email address be checked in each Committee Record and manually updated if necessary. Follow these steps:
-
Start on Account > Relationships
-
Find the “old” Primary Organization Relationship and click Edit
-
Uncheck the "Primary Employer" box under Reciprocal Relationship.
-
Set the Relationship End Date. This can be back-dated. For example, it’s good policy to back-date the End Date to yesterday before proceeding to prevent any Parent Employer overlap.
-
Save
-
-
Select “Add New Relationship to an Organization+” (green button)
-
Search for the new Organization and select it.
-
Note that the default Relationship is Employee-Employer.
-
Check the "Primary Employer" box under Employer Reciprocal Relationship.
-
Leave all other fields blank.
-
Set the Relationship Start Date. This is probably “today” and will work nicely if you set the prior Employee-Employer Relationship to end yesterday.
-
Save
-
-
To change the Individual’s Linked Work Address to the new Primary Employer Organization:
-
Return to Overview Tab
-
Edit the Address (gray button)
-
De-Link Address (gold button)
-
Select new Employer from “Link to Organization” Dropdown.
-
Save
-
-
To update the Individual Title, visit Account > Personal Info
-
To update Phone Number, visit Account > Contact Info > Phone Numbers.
-
To update Email Address, visit Account > Contact Info > Email Addresses. See also "Committee Records" below.
-
Clean Up: Finally, be sure to review the list of Relationships once more to determine if any special Relationships exist and need to be End Dated (e.g., Primary Contact, Directory Listing Rank). See Account > Relationships.
-
Additional Relationships. There are many other types of Relationships which can be established (e.g., Member Directory Rank, Primary Contact, Registry Listing Contact). These may be added in addition to the Employee-Employer + Primary Employer Relationship. For these Additional Relationship scenarios, you may also want to add a different Title inside the Relationship Record.
Committee Records. If the individual has a new email address and currently serves on any Committees or Engagement Groups, be sure to open their Committee records and update the email address which pulled over when the committee record was first established. The updated email address will not pull over to the Committee module automatically (re:Members (formerly Impexium) is designed to support use of different email addresses with each Committee membership). To perform a periodic check on mis-matched emails between the IND record and Committee Record, see the Thaddeus Data Warehouse Report at: https://dw.alta.org/exports/comm-emails.php.
