How To Cancel (Terminate) A Membership

All Staff Users have access and permission to do this.

This process can be completed in less than one minute and requires just 9 mouse clicks after you find the Record.

Scenario:
- Sometimes, a Membership needs to be canceled before the Expiration Date - this is called "Termination" in re:Members (formerly Impexium).
- This may happen when the company goes out of business or is purchased, when the membership is placed on the wrong Organization record, or when there is a duplicate membership.
Note: For Members who have a Policy Forms License as a benefit of Membership, you'll need to terminate the PFL Subscription as well. See how at: How To Cancel (Terminate) A PFL
Start by finding the record with the Membership that needs to be terminated.
Once you have opened the record, be sure you are on the "Purchases" Tab and have selected "Memberships" from the choices on the left.

In the Memberships area, look at the Active Memberships Tab to see the Active Memberships.

Find the Membership that needs to be canceled and click "Details" to open that Membership.

To add a Terminate Reason, click on the dropdown menu of Reasons and choose one that fits.
This Terminate Reason is not required, but is helpful for reporting purposes.

Now, take a moment, pause, and look at the display to make sure you are canceling the right Membership on the right Record.
Now is the time to update the Termination Date or Termination Reason.
Now is the time to be sure you've changed the Status to Cancelled.
Now is the time to click on the "Cancel" button if you are not on the right Record.
All good? Proceed . . .
Click on the "Save" button to complete the cancellation/termination of the Membership.

Look at the Inactive Memberships Tab to see the Terminated Membership.

Step	Where to look	What to do
1	Any search / dashboard	Find and open the Organization Record containing the membership to be terminated
2	Top tabs on the record	Click the Purchases tab, then select Memberships from the left-hand menu
3	Memberships area	Click the Active Memberships tab to see all currently active memberships
4	Active Memberships list	Locate the correct membership and click Details to open it
5	Membership detail screen	Click the Calendar Icon to select the Termination Date
6	Same screen	Open the Terminate Reason dropdown and choose the most appropriate reason (optional but recommended)
7	Status field	Change the Status to Cancelled
8	Full screen review	Pause — confirm you have the right membership, the right record, the correct date, and the correct reason
9	Bottom of form	Click Save to complete the termination
