
To create a new user on the ALTA network,
Active Directory

Log into the Active Directory Server with Remote Desktop or VMWare with admin credentials.

Go to Active Directory either on the desktop or start menu.

Go to the ALTA Users container

Right click on and copy the ALTA Template

This will bring up the Copy – User Template. This will create a new user.

Fill in the First and Last Name

Set Username in the User Login Name Field. The username must be formatted as finitiallastname. Example “jsmith”

Set a complex temporary password

After the user has been created, right mouse click on the new user.

Go to Properties

Click on the Attributes Editor tab

In the Attributes, go to the MSExchShdadowProxyAddresses Attribute.

Double-click on the entry. Add values of smtp:finitiallastname@alta.org and firstname@alta.org.

Next go to the Proxyaddresses Attribute .

Add values of SMTP:finitiallastname@alta.org and firstname@alta.org. Ensure that the primary email address has a capital SMTP.

In AD, Go to the Groups container.

The user must be added to the following groups
-
AD-Connect (so the user can get access to O365)
-
ALTA Admins (for email distribution lists)
-
ALTA Interns_PT (if necessary/ only for Interns or Part time employees)
-
ALTA GP (for those that need access to Great Plains)
-
ALTA Staff (standard all full time staff distribution list)
-
ALTA VPN (if VPN access is needed)
Microsoft 365

You must wait for the AD-Connect group to sync with Microsoft 365. Once it is synced, the new user will show up in the Users list in O365.

Next, log into the Microsoft 365 Admin Portal

Go to the Users section

Once they appear in the Microsoft 365 Admin Center User List, a 365 license must be assigned to them

Click on the user, go to License and Apps. These licenses must be assigned

Microsoft 365 Standard (gives access to the main programs for Office (Word, Excel, Powerpoint, Outlook)

Microsoft Stream (Microsoft’s internal online video streaming platform)
-
Microsoft Teams (standard Microsoft Teams access)
-
Power BI Free (in case ALTA begins to use basic web access and functions of Power BI again)

Power BI Pro (for more advanced functionality of Power BI and the desktop program)

Visio (for those that need Visio access)

Next, check for that the mailbox for the user appear in Exchange Admin Center. After setting up the licenses, it may take about 10 minutes for O365 to create the mailbox for the user.

Go to mailboxes. Find the user in the list.

Single click on the user and select the Edit icon.

Go to Email Addresses. Check to see if the addresses and aliases have moved over. If they appear.
Barracuda

The email account and any aliases must exist in the spam filter. This is in order for the account to receive email. Go to the Barracuda admin site.

Select Domains
-
Select Manage
-
Select Users -> User List
-
Select Add/ Update User
-
Enter in the primary email address of finitiallastname@alta.org.
