Overview
Nightly Steps are the daily end-of-day operational checklist performed by meeting staff during an event. These ensure the event runs smoothly, issues are caught before the next morning, and data integrity is maintained in re:Members throughout the event.
Note: This page is a placeholder for the Nightly Steps documentation being developed by the Meetings team (Chad Cipiti, Alannah, Sally). Use "Draft with DASH A.I." or the Dictate feature to build this out.
When These Steps Are Run
- At the close of each event day (typically after the last session ends)
- Before staff depart the venue for the evening
- Steps may vary by event day (arrival day vs. main event days vs. final day)
General Nightly Checklist
Registration & Attendance
- Pull the day's registration report from re:Members — compare against prior day
- Reconcile walk-in registrations and same-day substitutions
- Verify badge print log against check-ins at the registration desk
- Flag any duplicate registrations or payment issues for next-day follow-up
Financial
- Review the day's revenue report from re:Members
- Note any refund requests received — log in the cancellation tracker (SharePoint)
- Confirm payment processing settled for credit card transactions
Housing
- Check housing pick-up report from the housing bureau portal
- Flag any VIP or board member housing issues for immediate resolution
- Confirm next-day room assignments for general session and breakouts
Venue & Operations
- Walk all meeting rooms — confirm set for next day (room set, AV, F&B orders)
- Verify signage is in place for next-day sessions
- Confirm F&B counts with venue based on updated attendance numbers
- Submit any changes to the venue convention services contact
Communications
- Send the daily staff debrief email (who, what issues, what was resolved, tomorrow's priorities)
- Update the shared event status document in SharePoint
- Flag any urgent items to the Meeting Lead
