WordPress to Whova Export and Import Process
Purpose: This document outlines the process for exporting session and speaker information from WordPress and importing it into Whova.
Whova is ALTA's event management mobile application. Importing session and speaker information into Whova ensures the event agenda is accurate and up to date for attendees. This process should be completed whenever session or speaker information is updated in WordPress to ensure the latest event information is reflected in Whova.
Export/Import Process for Whova
Step 1: Log into WordPress Admin Portal
Log in to the WordPress Admin Portal using your administrator credentials.
Step 2: Navigate to the Export
From the left navigation menu, hover over All Export and select Manage Exports.
Step 3: Open the Export Settings
Locate Sessions/Speakers for Export/Whova, hover over it, and select Settings.
Important: This step determines which event's information will be exported. Before running the export, verify that the correct event is selected.
Step 4: Review the Filtering Options
Expand the Filtering Options section by selecting the drop-down arrow.
Review the meeting currently selected. If the correct event is already listed, proceed to the next step.
If you need to export a different event, you cannot edit the existing meeting filter. Instead, you must add the new event first before removing the current event.
Step 5: Add a Different Event (If needed)
Important: Always add the new meeting before deleting the existing meeting. Deleting the current meeting first may prevent you from successfully updating the export configuration.To update the meeting filter:

In the Element field, enter meeting.

Set the rule to in meeting.

In the Value field, enter the name of the event (for example, 2026 ALTA EDge).
Important: The event name must match the meeting name in the WordPress Meetings list exactly, including spelling, capitalization, and spacing. Otherwise, the export will not return the correct session information.
After adding the new meeting, delete the previous meeting from the filter. Once only the new meeting is listed, select Save to update the export configuration.
Step 6: Run the Export

Once the export configuration has been updated and saved:

Select Run Export.

Select Confirm & Run Export.

When the export is complete, download the XLSX file to your computer.
Step 7: Upload the File to the Intranet

Log in to the ALTA Intranet.

Navigate to Data/re:Members and select Session/Speaker Info/Whova.

Under Upload New File, select the downloaded XLSX file.

Upload the file to complete the import into Whova.
